If your firm already has Acrobat Pro or a Foxit edition with redaction, try that tool first. Both let you mark details for removal, apply the changes and remove hidden information. For this task, a careful check of the saved file matters more than switching brands.

Redaction means removing information from a document. A black rectangle drawn over text may only cover it. Use the product’s redaction tool, then apply the marks. The job is not done when the page merely looks right.

We build phone intake for personal injury firms. This guide covers a later staff task: preparing a copy of a record for sharing. Product instructions were checked October 22, 2026. We have not tested either tool’s output.

Choose the right edition

Start with the license on the computer that will do the work. A free PDF reader is not the same product as a paid editor.

Start with one copy

Use this fictional example: a three-page urgent-care record for Taylor Reed. The firm has decided that a shared copy should keep the visit date, wrist diagnosis and treatment, but remove the home address and medical-record number. The responsible lawyer decides what may be removed in real work.

  1. Keep the original. Store it in the firm’s normal case folder. Make a working copy named Reed-urgent-care-sharing-copy.pdf.
  2. Write a short removal list. Here it is 84 Example Lane and record number MRN-204817. Note that the record number also appears in a page header.
  3. Check all three pages. Look for the address in the body and the repeated number in headers, footers and images. A search can help, but it can miss text in a scan.

Use Acrobat Pro

Open the working copy in Acrobat Pro. Follow Adobe’s desktop redaction steps:

  1. Open All tools → Redact a PDF → Redact text and images.
  2. Drag over the address and record number. Check the marked areas on every page before applying them. Keep the diagnosis and visit date outside the marks.
  3. Select Apply. Turn on the option to sanitize and remove hidden information, then select Continue.
  4. In Save Sanitized Document, choose the name and folder, then select Save. Use a clear final name such as Reed-urgent-care-redacted.pdf.

For repeated text, Adobe also offers Find text and redact. Search for MRN-204817, review the matches and mark the intended results. Search is a helper; still inspect the page images.

If you need a separate hidden-data check, use All tools → Redact a PDF → Sanitize document. Adobe offers Remove all or Selectively remove. Review what will be removed before saving. Its sanitizing guide explains both paths.

Use Foxit PDF Editor

These controls follow Foxit’s Mac 2026.2 instructions. Use the help for your release if the controls differ.

  1. Open the working copy. Select Protect → Mark for Redaction → Text & Images. Read the prompt and select OK.
  2. Drag a rectangle around the address and record number. Check the marks on all three pages.
  3. Select Protect → Mark for Redaction → Apply Redactions. In the confirmation, choose the option to remove hidden information, then select OK.
  4. Choose the filename and folder in Save as. Foxit adds _Redacted to the name; check the final name before saving.

For a separate cleanup, Foxit’s Protect → Hidden Data menu offers Sanitize Document or Remove Hidden Information. Review the listed items and save the result. Removing hidden data can also remove material you intended to keep, so check the finished copy.

Foxit’s product page describes Smart Redact for automatic suggestions. That may be useful to trial for larger files. A suggestion still needs staff review; this guide does not establish how often it finds or misses an item.

Check the saved file

Use the same check for either product. These are practical review steps, not a guarantee that no information remains.

  1. Close and reopen the final copy. Read its filename. Make sure you opened the redacted file, not the original or a file with marks waiting to be applied.
  2. Look at every page. Check the address block, repeated headers and any scanned pages. Confirm that the visit date, diagnosis and treatment still make sense.
  3. Search for the removed values. Try the full address and MRN-204817. Copy text from around each removed area into a blank local document and inspect it. Finding a removed value means the file needs more work. Finding nothing does not prove that a scan or hidden object is clean.
  4. Check the extra material. Review the final file’s comments, attachments and document properties. Revisit the hidden-information tool if anything remains that should be removed.
  5. Have a second person review it. Give them the removal list and the intended final copy. Ask them to check both unwanted details and useful text accidentally removed. Share only the checked file through the firm’s approved channel.

For our example, the review fails if the header still shows MRN-204817, even if the address is gone. It also fails if the wrist diagnosis was removed by mistake.

Decide after the trial

Time the whole job: marking, checking, correcting and saving. Ask a staff member to repeat it using the same three-page sample. If your current licensed tool handles that task clearly, there may be little reason to switch for this job alone.

For a larger purchase, also check your actual mix of scans, repeated identifiers and long files. Review storage and data-use terms before enabling cloud or AI features for client records. A successful sample does not prove that every future file is ready to share.

If the next job is building a timeline from the cleaned records, see Casefleet vs. CaseMap+ AI. That is a different decision from removing private details.
